How it works

From initial brief to delivered timetable

Our engagement model is structured, transparent, and collaborative. Here is exactly what happens when you work with Timetabling Mate — from the first conversation through to the day your timetable goes live.

01

Initial consultation

We begin with a free, no-obligation consultation. You tell us about your school — its size, structure, curriculum, and the specific challenges you are facing. We listen carefully, ask the right questions, and give you an honest assessment of what we can achieve together. There is no sales pitch. If we are not the right fit for your situation, we will tell you.

02

School brief and data review

Once you engage us, we conduct a thorough brief with your leadership team. We review your existing timetable, subject preference data, staffing structure, room inventory, and any constraints or priorities that need to be built into the new schedule. We also review the history — what has been tried before, what worked, and what did not.

Structural modelling

With a clear brief in hand, we begin building the structural model — the high-level architecture of the timetable before individual allocations are made. This is where the key decisions happen: line structure, subject groupings, staff allocation frameworks, and room assignment logic. We present the model to your leadership team, walk through the trade-offs, and get sign-off before proceeding.

04

Full timetable construction

With the structure approved, we build the complete timetable — allocating every class, every teacher, and every room across every period of the week. We run iterative clash resolution passes, optimise for student subject choice outcomes, and validate against your enterprise agreement and curriculum requirements. You receive regular progress updates throughout this phase.

05

Leadership review and refinement

We present the draft timetable to your leadership team in a structured review session. We walk through the key decisions, explain the rationale behind allocations, and identify any areas where adjustments are needed. Heads of department are briefed on their faculty allocations. We then make agreed refinements and return a final version for sign-off.

Deliverable: Final timetable and documentation

Handover and ongoing support

We deliver the completed timetable in your preferred format, along with full documentation of the constraint register, allocation rationale, and adjustment protocols. We remain available through the release and adjustment period — managing requests, resolving unexpected issues, and ensuring the timetable holds up in practice. At the end of the year, we conduct a review to inform the next cycle.

Our principles

What makes our process different

Transparency at every stage

You always know where we are in the process, what decisions have been made, and why. No black boxes.

Leadership in control

Your deputy principal and leadership team have genuine input at every major decision point — not just at the end.

Students at the centre

Every structural decision is evaluated against its impact on student subject choice outcomes before it is finalised.

Documentation that lasts

We leave you with a complete record of every constraint and decision — so the next timetabler can build on what we created.
